The back office is the job you did not apply for
You did not go independent to do admin.
You went independent because you are good at the work. You know your niche, you know who is worth calling, and you know which roles are real and which are a wish list with a salary band attached. That is the job. That is what you are paid for.
Then the desk fills up.
A client asks a question on a Tuesday and you answer it from memory on the Thursday, slightly wrong. A candidate you placed eighteen months ago is now a hiring manager and you find out from LinkedIn. A search you ran last year had three people in it who are perfect for the role in front of you today, and you cannot remember their names.
None of that is a recruiting failure. It is a record-keeping failure, and it costs placements.
The honest version of what happens next is that most independent recruiters build a system out of whatever is nearest. A spreadsheet for clients. The inbox for history. A notes app for the things that do not fit. It works, in the way that a system held together by one person remembering things works, right up until the week you are busy.
The busy week is the point. That is when the follow-up does not get sent, and the busy week is also the week you were finally earning.
An applicant tracking system does not fix this, because an ATS tracks applicants. It does not know that the client asked about equity in August, or that the candidate said he would move for the right team but not for money, or that the search you are about to run is the third one this client has given you and the first two both stalled at the same stage.
That is the desk. It is the part of the business that lives in your head, and the part that stops scaling the moment you are the only one who can read it.
